Making Tax Digital has reshaped UK small-business compliance. VAT-registered businesses have kept digital records and filed through compatible software since 2019; MTD for Income Tax Self Assessment begins for sole traders and landlords above £50,000 from April 2026, dropping to £30,000 from April 2027. The spreadsheet-and-annual-accounts era is ending.

That creates both an obligation — records must live in MTD-compatible software such as Xero, QuickBooks, FreeAgent or Sage — and an opportunity: books maintained in real time let you see your tax position every quarter instead of as a January surprise.

What a UK bookkeeper should actually do

At minimum: monthly categorisation, bank reconciliations, VAT return preparation and submission through MTD-compatible software, and a year-end trial balance your accountant can work from. Beyond that minimum, quality varies enormously.

The markers of a professional service: correct treatment of standard-rated, zero-rated and exempt supplies (incorrect VAT treatment is an HMRC audit trigger), reconciliation of the VAT control account rather than blind submission, deadline tracking, and issues flagged before they become penalties.

Payroll and PAYE

If you employ anyone, Real Time Information submissions to HMRC are due on or before each payday, with fines starting at £100 per month. Payroll and bookkeeping work best handled together, so payroll journals land in the books automatically and your P&L reflects true employment costs.
